Job Summary:
We are seeking a highly organized, proactive, and experienced Executive Virtual Assistant to support our executive team. The ideal candidate will be responsible for managing executive schedules, handling communication, coordinating meetings, and assisting with various administrative tasks. This role demands excellent time management skills, the ability to multitask, and a high degree of discretion and professionalism.

Key Responsibilities:
Calendar Management: Schedule and manage appointments, meetings, and travel itineraries for executives. Ensure all events are well-coordinated and reminders are set.
Communication: Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and other correspondence. Draft and proofread emails, reports, and presentations.
Meeting Coordination: Prepare meeting agendas, take detailed minutes, and follow up on action items. Coordinate logistics for virtual and in-person meetings.
Travel Arrangements: Plan and book domestic and international travel, including flights, accommodations, and transportation. Prepare detailed travel itineraries.
Administrative Support: Perform various administrative tasks such as data entry, document management, and maintaining electronic filing systems. Assist with personal tasks as needed.
Project Management: Assist in managing and coordinating special projects, ensuring deadlines are met and deliverables are on track.
Research: Conduct research and gather information as needed to support executive decision-making. Prepare reports and summaries of findings.
Confidentiality: Maintain the highest level of confidentiality regarding executive and company matters.


Qualifications:
Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Experience: Minimum of 3-5 years of experience as an Executive Assistant, Virtual Assistant, or in a similar role.
Skills:
Excellent verbal and written communication skills.
Strong organizational and time-management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (e.g., Google Workspace, project management tools).
Ability to work independently and prioritize tasks effectively.
High level of professionalism and discretion in handling sensitive information.
Strong problem-solving skills and attention to detail.
Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
Working Conditions:
This is a remote position; candidates must have a reliable internet connection and a dedicated workspace.
